Communication Procedures

All communication from the Academy Coordinator and the coaches will be directed to designated parents and / or guardians. Communication for assessments, try-outs, practice and game schedules are provided through the website and Newsletters.

Attendance: For all instances of non-attendance, you MUST inform the office and not just the team coach.

Practices: Parents/players to notify the office directly via e-mail or phone if they will not be able to attend practices. Please note the attendance Policy and provide information in a timely manner to ensure full compliance.

Matches: Parents/players to notify the office AND the Team coach directly via e-mail or phone if they will not be able to attend a match. Please note the attendance Policy and provide information in a timely manner to ensure full compliance.

General Feedback: Provide feedback to the Head Coach, Parent Representative or Junior Athletics Office as appropriate. The Head Coach, Parent Representative or Junior Athletics Office will forward feedback as appropriate.

 

Tai Tam Academy Team "whatsapp' Group Chat Protocols

Purpose : These are training and match day group chats only and ARE mainly for the following:

  • Advising that your child is sick on match day and so will not be able to play that day
  • Advising that you are running late (and with a reason!)
  • Asking for directions
  • Asking for parking hints

They are NOT for:-

  • Almost any messages outside of training or match days that could be communicated via the usual channels ie. Don’t use the chat during the week to advise that your child is unavailable for a game at the weekend. We have communications policies for that!
  • Checking on information that has already been communicated because it’s easier to send a Whatsapp message and ask someone else to check for you!!! ie. Do not message ‘sorry, I have been away. Is there a game tomorrow? Where and what time?” – Check your SchoolsBuddy Diary, email or privately message another parent.

General Protocol

  • Always keep to the purpose of the group!
  • Be aware of time. There are very few instances that warrant sending a message at inappropriate times of the day. As a guideline: If it’s outside of standard work hours, think carefully and Do not post in any group between 21:00 and 07:00 unless it is an all-out emergency.
  • The group is not a platform. No arguing, no heated opinions, etc. WhatsApp groups should never be used to voice grievances or drive personal agendas.
  • If you want to add members, always ask the admin before you add them.
  • Do not add students to parent groups
  • Do not have one-on-one conversations in the group. Switch to private messages.
  • Never change the group name if you are not the main admin.
  • Be considerate. If your age group has more than one team, be aware that the parents of players in these other teams may not want to receive lots of congratulations messages and photos of your child’s team!
  • Don’t send data-insensitive messages. No-one wants their last 3GB used up on 100’s of photos, video’s, etc. There are google drives for uploading photos.
  • Remember the coaches could be on numerous chat groups and so be receiving 100s of messages per day.
  • The WhatsApp group should be used to make our lives easier and not to become a ‘nuisance’. If you are not sure, ask yourself these three questions before you post:

·      Is this relevant?

·      Is this necessary?

·      Is this a good time to post?
